We are seeking a highly capable, intuitive, and detail-obsessed Executive Virtual Assistant to support the Managing Director of a high-performing digital agency. This is not a traditional VA role. You will become an extension of the executive — managing their time, context-switching across fast-moving projects, coordinating with internal teams, and supporting personal logistics with the same level of precision as business operations.

You must be sharp, self-directed, and thrive in a dynamic environment where the only constant is change. You will be trusted with sensitive information, high-stakes decisions, and the inner workings of both business and life.

You’ll be supporting a founder who runs multiple creative and digital businesses. The pace is intense, but energizing, with realistic expectations and empathy for work/life balance.

• Manage and triage all email inboxes: draft responses, flag action items, archive distractions.
• Own the calendar: schedule meetings, prep agendas, add buffers, and prevent conflicts.
• Shadow during work sessions to capture to-dos, create follow-ups, and ensure alignment across team priorities.
• Track daily and weekly commitments; follow up with internal and external stakeholders.
• Coordinate across multiple time zones and workstreams with precision.
• Conduct strategic research (vendors, tools, leads, contacts, platforms) and summarize findings.
• Maintain internal documentation and SOPs to streamline repetitive tasks.
• Work cross-functionally with project managers, performance marketers, and external partners.
  
  

• Plan and manage personal calendar including social events, dinners, and key life dates.
• Research and book restaurants, events, and experiences that match personal preferences.
• Coordinate travel: flights, hotels, reservations, itineraries, backup plans, and contingencies.

• 2+ years of experience supporting an executive, founder, or senior leader, or work as project manager
• Exceptional written and verbal communication skills in English.
• Highly proficient in the Google ecosystem (Docs, Sheets, Calendar, Gmail, Meet).
• Demonstrated experience managing complex schedules, inboxes, and follow-up tasks.

YOUR ROLE

Lead a team of ML engineers building next-generation personalization and optimization systems. You'll balance hands-on technical work with team leadership, driving both technical excellence and business impact. This role requires someone who can architect complex systems while mentoring others and collaborating across organizations.

• Assist in developing and refining AI/ML models for business intelligence and automation.

• Proficiency in writing and executing complex SQL queries.
• Strong interpersonal and communication skills, with experience working with multiple stakeholders.
• Team player capable of managing multiple stakeholders effectively.
• Strong analytical skills and comfort dealing with numerical data.
